Clinic Receptionist
Job description:
The Feline Fix is a 501(c)(3) nonprofit public charity that promotes the health and welfare of underserved cats by providing affordable veterinary care and spay/neuter services and supporting community cat caregivers including those conducting trap-neuter-return.
The Feline Fix is committed to education and outreach that advances the quality of life for feral cats and pursues collaborative efforts to address issues related to the vulnerable cat population. The Feline Fix also operates a foster and adoption program focused on rescuing, socializing, and finding adoptive homes for young feral kittens.
The Clinic Receptionist is the face of The Feline Fix and serves as the point of contact for our clients, rescue partners, and the general public on surgery days. The Clinic Receptionist is engaging, personable, and eager to work with our diverse clientele to better serve the cats in our community. This dynamic individual is welcoming, well-organized, efficient, and works well in a fast-paced environment. The Clinic Receptionist reports to the Clinic Office Manager and helps ensure our clinic runs efficiently.
On surgery days (Thursdays and Saturdays), the Clinic Receptionist opens the clinic, processes check-ins and checkouts, manages clients on-site, and bills and applies payments to client accounts. On non-surgery days (Wednesdays and Fridays), this position schedules client appointments, checks in wellness and adoption visits, and assists the Kitten Coordinator with management of the foster program.
This role performs general office duties, including but not limited to answering phones, filing, and responding to emails.
Principal Duties and Responsibilities:
Coordinate wellness and spay/neuter clinic days including scheduling and checking patients inand out. Work closely with clinic staff and clients to ensure excellent care and customer service throughout experience.
Greet and assist clients, answer phones, respond to voicemails, assign tasks and provide guidance to office volunteers, and other general receptionist duties.
Responsible for loaning out traps, collecting payments, and invoicing volume clients.
Ensure all medical records are complete, entered correctly into Clinic HQ and ShelterLuv, and are filed properly.
Communicate with clients regarding pre- and post-surgical instructions. As needed, assist with daily cleaning of the office/storage space and laundry.
Support Kitten Coordinator with the Foster program, including processing intake of kittens, coordinating foster homes, scheduling adoption visits and supporting adoption events.
Support organization and execution of events, including but not limited to adoption events, expo fair booths, and fundraising events.
Offer exemplary customer service to our clients, volunteers, and other constituents.
Required Knowledge, Skills and Abilities:

Ability to work with and around cats, both tame and feral.

Experience with Microsoft Office.

Easily learns variable software platforms.

Exceptional customer service skills with internal (staff) and external (collaborators, clients, donors, volunteers, etc.) constituents.

Excellent communication skills, both verbal and written.

Ability to work collaboratively in a team setting but also work independently.

Pay: $20.00 - $22.00 per hour

Experience:
-
shelter and/or spay/neuter clinic : 1 year (Preferred)
-
Bi-lingual in Spanish a plus, but not a requirement.
